Privacy Policy

The Death Valley Oak Barrel Society (the “Society,” “we,” “us”) is a quarterly membership program operated by R & N Mart LLC / Tobacco and Liquor Express, a licensed liquor retailer in Pahrump, Nevada. This policy describes how we collect, use, and share personal information when you use deathvalleyoakbarrelsociety.com (the “Site”) and the member portal. Information you provide directly:

• Interest and enrollment details — name, email address, phone number (optional), the membership tier you are interested in, and any note you include with your request.
• Age verification — your date of birth, used to confirm you are at least 21 years old. Your age is verified again by photo ID at in-store pickup.
• Profile details — shirt size (collected for Standard and Premium welcome gifts) and an optional profile photo.
• Membership activity — event RSVPs, bottle selections, drawing entries, store-credit balances, and renewal records, created as you use the member portal.

Information collected automatically:

• Sign-in and session data — managed by our authentication provider, including your email and, if you choose to sign in with Google, the name, email, and profile photo Google shares from your account.
• Server logs — standard technical records (such as IP address and browser type) kept for security and site operation.

We do not use advertising trackers or third-party analytics on the Site.

• Administering memberships: enrollment, renewals, and the member cap.
• Running program benefits: bottle allocations, pickup windows, events, drawings, numbered glasses, and store credit.
• Sending transactional email (confirmations, renewal reminders, pickup notices, drawing results). We do not send marketing email.
• Verifying legal drinking age and complying with alcohol regulations.
• Protecting the Site and members against fraud and abuse.

The Society is a private club with social features. Other signed-in members can see your name and profile photo (or an initials avatar if you have not uploaded one) on event RSVP lists, and — if you win a quarterly drawing — in the winner announcement posted on the platform. Your contact details, date of birth, payment history, and credit balance are never visible to other members.

We do not sell personal information. We share it only with service providers that operate the Site on our behalf — hosting, authentication, database and file storage, payment processing, and email delivery — each bound to use it only to provide their service. We may also disclose information when required by law, to enforce our terms, or as part of a business transfer.

Card payments are processed by a third-party payment processor. Your full card number is entered directly with the processor and never touches our servers; we retain only the transaction records needed to administer your membership (amount, date, and status).

The Site uses only essential cookies — the ones required to keep you signed in and to secure your session. We do not use advertising or cross-site tracking cookies, so there is no cookie consent banner to click through.

We keep membership records while your membership is active and for as long as needed afterward for legal, accounting, and program-integrity purposes (for example, drawing audit logs). Data is transmitted over HTTPS and stored with access controls limiting it to the systems and people who need it.

You can update your profile details (photo, shirt size) in the member portal. To access, correct, or delete your personal information, email support@deathvalleyoakbarrelsociety.com and we will respond within a reasonable time. Depending on your state of residence, you may have additional rights under state privacy law (for example, under Nevada law you may direct us not to sell your personal information — we do not sell it). Deleting your data may end your membership, since we cannot run the program without it.

The Society is for adults aged 21 and over. The Site is not directed to anyone under 21, and we do not knowingly collect personal information from anyone under that age. If you believe someone under 21 has provided us information, contact us and we will delete it.

Signing in with Google is optional and subject to Google’s privacy policy. Event pages may embed YouTube videos for tasting livestreams; loading an embedded video is subject to YouTube’s terms and Google’s privacy policy. Links to our social pages (YouTube, Facebook) lead to platforms governed by their own policies.

If we change this policy, we will post the updated version here with a new effective date. Material changes will be announced to active members by email.
